About the Role
Your mission as a Process Improvement Specialist at TalentPop is to identify inefficiencies across teams, redesign workflows for clarity and efficiency, automate where possible, and ensure processes are clearly documented, adopted, and continuously improved. At its core, a Process Improvement Specialist is responsible for making work easier, faster, clearer, and more scalable — without breaking what already works. They sit between operations, systems, and people.
Responsibilities
1. Process Analysis & Gap Identification
- Audit existing workflows across departments to identify inefficiencies, bottlenecks, and redundancies.
- Map “current state” vs. “ideal state” processes.
- Analyze existing KPIs, metrics, and feedback to pinpoint recurring issues or pain points.
- Conduct root cause analyses (e.g., using 5 Whys, Fishbone diagrams).
2. SOP Management
- Locate, consolidate, and standardize all existing SOPs in a central repository.
- Identify areas without SOP coverage and create new SOPs from scratch.
- Collaborate with department leaders and SMEs to ensure SOPs are accurate, practical, and aligned with company standards.
- Implement version control and review cycles to keep SOPs current.
3. Process Design & Optimization
- Leverage workflow tools like HubSpot Workflows, Zapier, or Clay to design and automate processes
- Redesign inefficient workflows for greater efficiency and clarity.
- Introduce automation or digital tools where beneficial.
- Reduce unnecessary steps while maintaining compliance and quality standards.
- Ensure handoffs between teams are clearly defined and documented.
- Ensure data integrity and consistency in process-related systems.
- Partner with Automation teams to evaluate and optimize workflow usage & integrations
4. Stakeholder Collaboration & Training
- Partner with department heads to validate new processes before rollout.
- Department leaders, Project Managers, BizOps Leaders
- Facilitate workshops, feedback sessions, and process-mapping meetings.
- Provide training and onboarding for teams on new or updated processes.
- Create easy-to-use guides, process maps, and quick-reference materials.
5. Change Management & Rollout
- Develop clear rollout plans for new processes, including timelines and communication strategies.
- Monitor adoption and troubleshoot barriers to compliance team.
- Gather feedback after implementation to refine processes further.
6. Continuous Improvement Culture
- Establishing close relationships with leaders to provide them feedback on processes lacking adherence (using a Request form)
- Establish feedback loops so employees can suggest process improvements.
- Track and report the ROI or impact of implemented changes.
- Benchmark company processes against industry best practices.
- Promote a culture of efficiency, adaptability, and documentation discipline.
Ideal Skills
- Systems thinking: understands how changes in tools and workflows affect downstream handoffs, data quality, reporting, and stakeholder experience.
- Strong stakeholder communication (written + verbal): can clarify requirements, run efficient meetings, document decisions, and communicate clearly via Gmail and Slack.
- Detail-oriented and solution-driven: catches edge cases, tests before implementing, and follows through until the improvements are stable
- Operates with integrity, stays organized under pressure, and can work independently with minimal supervision in a remote environment
Qualifications
Required
- 1+ year of experience driving operational efficiency through process improvement, project coordination/management, operations support, or administrative work (e.g., Executive Assistant)
- 1+ year of hands-on workflow automation experience in at least one tool such as HubSpot, Zapier, Make, n8n, or GoHighLevel (building, testing, troubleshooting, and maintaining automations)
- Ability to map current-state processes, identify bottlenecks/root causes, and design a practical future-state workflow with clear owners and outcomes
- Strong documentation skills: can write and maintain SOPs/workflows/process maps that include purpose, scope, roles/responsibilities, step-by-step procedures, and change management
Preferred
- Direct experience with HubSpot (objects/properties, lists, workflows/automation, basic reporting) plus integration work using Zapier/Clay/
- Familiarity with process improvement methods and using lightweight measurement to validate improvements
- Experience maintaining a scalable SOP / knowledge base (review cycles, ownership, versioning, adoption)
- Experience in e-commerce industry
- Comfortable with basic data work (Sheets/Excel): tracking KPIs, building simple analyses, and using data to prioritize improvement.
Technical
Internet Requirements
- DSL, Cable, or Fiber internet connection is required - LAN connection required (20 mbps minimum)
- Backup internet connection is required (10 Mbps minimum)
Hardware Requirements
- Laptop/Desktop with a Minimum Core i5 or Ryzen 5 with at least 8GB RAM or equivalent system specifications
- Desktop/Laptop PC only (no tablets or smartphones allowed for working tools)
Power Requirements
- Must have a reliable power source with minimal power outages
- Having a backup power source is also highly recommended (e.g generator, Portable power station)
- Having a backup location you can go to during a power outage (family member’s house, friend’s house, internet cafe, or a co-working space) is required for all TalentPop Team members
