About the Role
Your mission as a Business Analyst at TalentPop is to strengthen our Business Intelligence function by leading workforce planning, headcount forecasting, and operational analytics that directly power TalentPop’s hiring strategy, department efficiency, and future growth. This role is ideal for someone who thrives in high-velocity operational environments, understands workforce dynamics inside a BPO, and enjoys building analytical models that influence decisions at the executive level.
Responsibilities
Internal Department Workforce & Headcount Planning
- Maintain and continuously refine TalentPop’s internal workforce and capacity models across Recruitment, Customer Success, Team Operations, and other functions of the business.
- Analyze labor capacity utilization, productivity, interview load, applicant pass rates, productivity metrics, and department efficiency to identify staffing needs and constraints.
- Establish weekly, monthly, and quarterly hiring targets in partnership with Recruitment and department leadership.
- Ensure alignment between hiring forecasts and internal labor capacity to support application volume and growth.
- Build internal bandwidth models that estimate workload distribution and highlight when teams or functions require additional staffing or resource reallocation.
Predictive Modeling & Scenario Planning
- Develop predictive models for attrition, bandwidth risk, hiring demand, and internal resource shortages.
- Build scenario plans for internal growth, new service expansion, seasonal hiring fluctuations, and operational shifts driven by AI adoption.
- Model “what-if” analyses to support executive decision-making (e.g., revenue growth, churn patterns, new vertical launches, efficiency targets).
- Quantify how changes in staffing, performance, or process improvements impact department load and company-wide labor requirements
Recruitment Analytics & Funnel Optimization
- Track and analyze recruitment performance metrics, including:
- Application volume
- Interview-to-hire ratios
- Pass/fail trends
- Time-to-fill
- Pipeline sufficiency vs. hiring goals
- Maintain applicant forecasting models that project future supply based on historical conversion rates and expected demand.
- Recommend improvements to hiring workflows, interviewer capacity distribution, sourcing mix, and predictive funnel modeling.
Operational Analytics & Reporting
- Build dashboards and reporting tools that support Recruitment, Sales, Marketing, Client Success, Team Operations, and Executive Leadership.
- Create and maintain the Monthly Business Intelligence Report summarizing workforce insights, hiring performance, and departmental capacity for TalentPop's leadership team.
- Monitor departmental KPIs (capacity utilization, output per FTE, efficiency trends) and provide data-driven recommendations.
- Ensure cross-department alignment by providing standardized views of workforce metrics across TalentPop’s organization.
Data Governance & AI Tool Integration
- Serve as a data partner alongside our Engineering and Data Management team to ensure data integrity and help support TalentPop’s AI initiatives such as:
- AI QA
- AI Health Score
- AI Client Health Score
- Client Status Score
- CSM Bandwidth Score
- TL Dashboards
- Define and maintain the baseline data structure and operational metrics powering these tools.
- Alongside our Engineering and Data Management Team, validate data accuracy for reporting pipelines connected to HubSpot, Typeform, TalentPop App, HR systems, Slack, and external sources.
- Identify gaps in data collection, implement improvements, and ensure consistent data integrity across the BI function.
Ideal Skills
- Strong quantitative, modeling, and operational analysis skills.
- Advanced proficiency in Excel/Google Sheets (modeling, pivot tables, scenario analyses).
- Ability to interpret operational data and provide actionable recommendations.
- Experience in BPO, outsourcing, call center, or recruiting analytics is a strong plus.
Qualifications
- Bachelor’s degree in Business Analytics, Finance, Economics, Statistics, or similar.
- 5+ years of experience in business analysis, workforce planning, recruiting analytics, or operations analytics.
- Proven experience forecasting headcount or staffing capacity in high-volume environments.
